Booking calendar

1. The minimum booking period is one hour.  Slots may start on the hour or half hour.   You must select enough slots to allow for all the time you will need to be in the Hall, including all time for setting up and clearing up your event.

2. This online system is a request only and reserves the slots you have selected.  Your booking is not confirmed until you receive an email from us.   We aim to reply within 3-4 working days but this is not always possible.  Regular users wishing to use the Hall at short notice may do so having booked by request, and do not need to wait for confirmation.   Those wishing to book a date several months in advance need to be aware that regular users have priority in their slots but generally do not book more than 6 months in advance : the date you request may therefore be free in the calendar but may not be available due to a regular booking.

3. Weekday Bookings -
  • Regular weekly bookings are generally only accepted on Mondays and Thursdays and during the day on Fridays.
  • Non-weekly bookings, and one-off bookings (especially those booked several months in advance) are generally accepted only during the day on Tuesdays (after 10.30 am) and Wednesdays, and on Friday evenings.
  • Requests at relatively short notice (e.g. for children's parties, funeral teas etc) may be accepted on any day if the Hall is available.
  • Large daytime bookings may not always be accepted if they go beyond 3 pm, because of clashes with school pick up time.

4. Bookings in school holidays and the lead up to Christmas.  Dates in August and school holidays are often relatively free of regular weekly bookings and block bookings (eg for children's holiday clubs) may be possible. In November and December the school and playgroup use the Hall for their annual productions and, while these do not clash with the slots of existing weekly users, new weekly users will need to be aware that some dates may be affected by this.

5.  Private Events -

Private Evening Parties.
Evening parties where alcohol is served and music played must book at the party rate by selecting "private evening party" as the facility to be booked.   Additional information, including the cut-off time for music, can be found in the T&Cs and Booking conditions, linked at the bottom of this webpage.  Requests for private evening parties are generally only accepted where the hirer is local to Fittleworth.

Children's Parties
  • should be booked by selecting "Exclusive Use" as the heading for the "facility".  This enables hirers to book the Main Hall for a child's party and ensure that there are no hirers in other parts of the building.
  • Hirers need book exclusive use of the kitchen only if the ovens are to be used - we request you add an "honesty" donation when paying the invoice (between £5 and £10 is appropriate) to cover any use of the kitchen for cold party food and any use of the kettle for hot drinks for adults.
  • Bouncy castles and any electrical equipment may be plugged in but must be PAT tested and we request that the donation is increased to reflect this use.  Hirers wishing to use bouncy castles in the Hall should visit in advance to check dimensions, we cannot supply measurements for this, and do their own risk assessment.
